The Type of personal information we collect

We currently collect and process the following information:

Name, address, email address, gender, date of birth, age, phone number, passport details or other national identifier, driving license, your national insurance or social security number and income, employment information and details about your previous roles/appearances and personal history.  We may collect information about you from a number of sources such as LinkedIn or other online sources, including from you directly.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

• We obtain personal information about you when you apply to take part in a programme or are confirmed as a participant or contributor to a programme which we are producing.
• We need to process this information to consider your application or to make the programme once you have been selected.
• If you have applied for a role within our company as a freelance contractor or employee.  We retain this information on our database for up to 5 years and update it regularly.

We use the information that you have given us in order to perform our contracts with you either as:-

• To meet the contractual obligations between us
• As part of any agreement which you have entered into with us for your application, contribution and/or participation in a programme.

Freelance contractors

• We use freelance contractors in our work. We maintain a database containing information about contractors we have previously worked with. We use the database to contact contractors should future opportunities arise which we consider to be in our and your legitimate interests. If you are a contractor, your l be added to that database and retained for a period of 3 years. During this time if your personal details change please contact us so that we may update your records. You can ask us to remove your personal data from this database at any We process your personal data where it is necessary to do so to comply with applicable laws which apply to us an as organisation including:

• to verify your identity;
• to produce our television programmes and other audio-visual content;
• to carry our verification and anti-money laundering checks, prevent and detect fraud and carry out other legally mandated checks (including criminal record checks, where applicable); and
• if we are legally obliged to disclose your personal data.

How we use this information

We may share this information with an industry-wide diversity monitoring initiative called Diamond.  The Diamond project uses personal information regarding on and off-screen contributors to programmes to report on the diversity of TV production in the UK. 

If you have provided us with your email address (unless you have asked us not to) we will share this with Creativity Diversity Network Limited (CDN), Soundmouse and Silvermouse and you will be invited to participate in the Diamond project.  The company running the Diamond project will contact you to ask whether you are willing to contribute to the project by providing certain information regarding your diversity characteristics such as gender, ethnicity, disability, age, gender identity and sexual orientation.  This information is collected, processed and stored anonymously on the Diamond system with the relevant data being jointly controlled by the main UK broadcasters, including ITV, BBC, Channel 4, Channel 5, CDN and Sky.
